Outline of role
Monitoring all fee estimates vs actual invoices for every mandate to ensure fee earners can accurately benchmark ongoing estimates;
Provide weekly updates to the relevant fee earners of the WIP on their respective matters;
Monitor matters to ensure that:
Rates remain consistent with the estimate/engagement letter agreed with the client;
WIP updates for specific time periods are available upon request by the relevant fee earner;
All discrepancies are identified as soon as possible
Help design and then prepare and circulate draft fee updates to responsible fee earners for circulation to the client;
Able to work well in a team of very busy lawyers whilst understanding the type of work and practice split of work in order to be able to identify errors and be effective support.
Assist with the review of aged WIP preparing summary reports at client/matter/partner level for review and processing write offs in line with firm policy.
Ensuring internal systems are kept up to date with latest WIP and AR information
Working with secretaries and operation team in Manila to ensure that billing matters
Checking and engrossing invoices ensuring that they are compliant with firm policy and regulatory requirements.
Maintain a continuous open dialog with the revenue & credit controllers, secretaries and finance management.
Assisting with compliance with the Solicitors' Accounts Rules, in particular the rules surrounding earmarking of funds and residual balances.
Essential job requirements:
Relevant billing and revenue control experience.
Law Firm experience is a must, ideally in a large firm.
Have the ability to inspire trust and confidence from internal and external clients, in particular Partners. Excellent interpersonal and team working skills
Flexible and enthusiastic with the ability to manage own workload and priorities to meet deadlines. Knowledge of the Solicitors Accounts Rules and VAT
Experience in using Elite, 3E, Aderant or similar PMS system.
